For the Government, Local Government, and larger commercial organisations, existing software systems (legacy) carry out the required processing as per the original design. They are still working but can fall short of what is currently required due to normal business changes. Other software and spreadsheets have been added to fill the gaps thereby creating difficulties for users in processing standard and everyday transactions. Legacy software systems have difficulty keeping up in our fast-moving world.
PiWerx was specifically designed to manage this complex and challenging environment. Its intelligent processing style allows an organisation to retain the legacy software systems by independently taking over the transaction flows without touching existing software systems.
It is particularly suitable for a complex Procurement environment where there are many decision layers as well as authorisations required.
PiWerx gives users an intelligent processing stream, gathering all of the required information via its decision tree questions and answers style. It interfaces where necessary, via APIs to gather data from existing systems and/or to deliver the final completed data, template, or form.
At a glance!
- PiWerx is positioned above the existing software systems taking over the transaction processing role. Existing software systems continue to operate as normal.
- The PiWerx transaction flows and streams contain all of your existing requirements plus any new ones.
- PiWerx can manage any level of complexity due to its intelligent processing engine.
- Multiple streaming based on categories or transaction types are easily accommodated.
- The transaction streams can be separate and/or co-join at points.
- PiWerx will lower operating costs and bring greater efficiency and operational flexibility to your organisation.
- Perhaps ideal for Environmental, Social & Governance (ESG), where an organisation has to gather disparate information, some of it external, and then create a constantly moving and complex set of outcomes.
- Productivity Commission Report – March 2023. In this report, the Productivity Commissioner noted that Governments and Businesses needed to increase workplace digitalisation to gain increases in productivity and improvement in processing efficiency.
- Governance, corporate policies, and standards can be embedded within each workplace processing flow to ensure that the correct outcomes are
More details:
- PiWerx is a simple system guiding users through their daily processing work.
- It provides a solution for an existing processing roadblock or an intractable issue. Often these are overlooked or left in the “too hard basket”.
- Legacy software systems are expensive to modify because of their older technology and “in-built” structures, so they are usually left in place to carry out those tasks unchanged.
- The PiWerx system steps users through a transaction or process, editing their responses, providing prompts, and drop-down choices, and branching to other question streams or external information sources based on the response to the questions.
- The work desk for each procurement officer displays a list of all their requests. The status identifies whether it is closed, active, paused, or awaiting approval. Users can pause and then resume an active request at any time.
- Each question has a Help button where users can seek knowledge about the question, what is required, and what comes next. Also, there is a Back button to make any corrections.
- Where approval is required, a message is sent to a manager or Board and the process is paused until a positive response is received. A stop can also be applied if required.
- Midstream messages can be sent to a supervisor seeking clarification. Each answer is automatically saved and the “Pause” button can be exercised at any point. Resumption takes the user to the exact pause point.
- It is a mandatory process giving confidence to the organisation concerning its data.
- Policy and standards can be embedded into each processing step.
- The desired outputs (completed forms and/or templates) are automatically created. They can be automatically routed to a third-party system via the Application Program Interface (API).
- PiWerx identifies the person and their role, thereby giving a supervisor the ability to oversee general processing.
- External changes (e.g. legislation, new marketing) can be quickly and easily incorporated.
- PiWerx’s reporting suite provides managers with full details of the processes and outcomes.
- PiWerx provides detailed analytics for every processing stream. This includes: how long the average users take with each question, common answers, and perceived bottlenecks, thereby outlining possible improvements to the process itself or the contained steps.
- All steps and entered data are logged and made available for any audit or internal review. This builds transparency around all processing which has proved to be of paramount importance in a procurement environment.
